A clear owner. A considered reply.
Your team’s context stays beside the message.
Our next project
Hi Maya,
Thanks for sharing the details. We have everything ready for our meeting on Thursday.
The files are reviewed. Jordan is preparing the reply.
Invite people with the right level of access.
Create a team, invite a colleague’s Evolena sign-in address and share the invitation link. They accept in Evolena before receiving mailbox permissions; invitations are not automatically emailed.
The mailbox owner chooses reading, response or management access. Revoke access or stop sharing when the work changes, while keeping the original mail.
- Read: messages, attachments and team context
- Respond: internal notes and text replies
- Manage: assignments, status, read state and archiving
Make ownership and progress visible.
Assign a message to a teammate and mark the case pending or resolved. Combine status filters with Mine or Unassigned to see where help is needed.
Add internal notes in their own editor. Notes remain visible to people with access to that mailbox and are not added to replies sent to customers.
- A responsible person for each case
- Pending and resolved states
- Internal notes alongside the conversation
Coordinate before the next reply.
A drafting indicator shows when another teammate is writing. It is a coordination aid, not an exclusive lock; another person can still send a response.
A recognized incoming reply can reopen a resolved case while preserving its owner and notes. The team view checks for updates while it is open and visible.
A focused workspace for shared email.
The shared workspace includes Inbox, Sent and Archive. The owner shares their main mailbox, and everyone enters through Evolena without a separate mail-admin sign-in.
Team responses currently use text and go to one recipient from the original message, with a 30-second undo window. Reply-all, outgoing attachments and scheduled team replies are not part of this workspace yet.
